1. Who We Are

Beagle (“we”, “us”, “our”) is operated by Rubytech LLC. We provide an AI booking agent that connects customers with local service professionals via WhatsApp.

2. What We Collect

We only collect what is necessary to facilitate your bookings:

• Contact information — your phone number and name, as provided via WhatsApp.
• Booking details — the service you need, your location, preferred dates and times, quotes received, provider interactions, and booking outcomes.
• Trust score — a reliability rating (-5 to +5) calculated from your booking history. This is shared with providers during the anonymous quoting phase to help them decide whether to take the job.
• Conversation history — your WhatsApp messages with Beagle, used to maintain booking context across sessions.

We do not collect or store:

• Payment card numbers (payments are handled entirely by Stripe).
• Marketing profiles or behavioural tracking data.
• Location data beyond what you provide for your booking.

3. How We Use Your Data

• To match you with suitable local service professionals.
• To communicate with you and providers about your bookings.
• To calculate and share trust scores (see section 2).
• To collect booking fees after completed jobs via Stripe payment links.
• To prevent abuse and enforce our network quality standards.
• To comply with legal obligations.

4. Lawful Basis for Processing

We process your data on two lawful bases:

• Contract performance — fulfilling the booking you requested and collecting the agreed booking fee.
• Legitimate interest — maintaining provider quality scores, preventing abuse, and protecting the integrity of our network for all users.

We do not rely on consent-based processing.

5. Sharing Your Data

We share your information only when necessary for the booking:

• During the quoting phase — providers receive your job description, location area, timing, and trust score. They do not receive your name, phone number, or exact address. You remain anonymous until you confirm the booking.
• After you confirm a booking — we share your name, phone number, and relevant job details with the confirmed provider so they can complete the work. Provider details are also shared with you at this point.
• Payment processor (Stripe) — to create and track payment links for booking fee collection. Stripe processes payments under their own privacy policy.
• Legal requirements — if required by law, regulation, or legal process.

We never sell your personal data to third parties.

6. Trust Scores

Both customers and providers have a trust score on a scale of -5 to +5, starting at 0. Scores are based on booking behaviour: completing jobs, paying on time, showing up, and treating others respectfully.

• Your trust score is shared with the other party only during the anonymous quoting phase — before identities are revealed.
• Higher scores lead to faster, better service. Lower scores reduce your priority.
• You can ask Beagle for your trust score at any time.

7. Data Retention

• Your personal data is retained for as long as you use Beagle. We do not impose a fixed retention period — your data exists to serve your bookings.
• If you request deletion (see section 8), all personally identifiable data is erased immediately.
• Booking records are retained in anonymised form after deletion (your name and phone number replaced with “[REDACTED]”) to maintain accurate provider quality scores that other customers depend on.
• Payment records held by Stripe are subject to Stripe's own retention policy.

8. Your Rights

You can exercise your data rights instantly via WhatsApp — no forms, no emails, no waiting period.

Access all your data

Message Beagle: “What data do you have on me?” We will immediately send you a complete summary of everything we hold — your account details, trust score, full booking history, and conversation history.

Delete all your data

Message Beagle: “Delete my data.” We will permanently erase all your personal data — your profile, booking history, trust score, and conversation history. This is handled immediately and is unconditional.

• Booking records are anonymised (not deleted) to preserve provider quality scores.
• Outstanding booking fees remain payable after deletion. Your Stripe payment link stays active — the right to erasure does not cancel financial obligations.
• We cannot delete data held by Stripe on your behalf. Contact Stripe directly for those records.
• If you message Beagle after deletion, you start fresh as a new customer.

Other rights

You also have the right to request correction of inaccurate data and to object to processing. Message Beagle or email privacy@rubytech.llc.

9. Security

Your data is stored on a dedicated, self-hosted system. Conversations are transmitted via WhatsApp's end-to-end encryption. Booking and profile data is stored locally and is not shared with cloud services. Payment processing is handled by Stripe, a PCI-certified payment provider.

10. Cookies

Our website (beagle.bot) uses only essential cookies required for the site to function. We do not use tracking, analytics, or advertising cookies.

11. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via our website. Your continued use of Beagle after changes constitutes acceptance.
